Private Practice Owner? Know These 3 Keys to Successful Team Management

No private practice owner can succeed without an effective team. Implement these 3 keys to team management and see your private practice thrive.

As a private practice owner, it’s your vision and knowledge that guides your business to success. Without you, your team is just a group of people with skills but without a shared vision.

But without your team, would you be able to be a private practice owner at all? Probably not.

If your private practice is thriving, most likely it’s because you’ve built an excellent team with good rapport and a solid understanding of how to work together to meet shared goals.

On the other hand, if your business is struggling, your team is a good place to look for answers.

Here are three essential components of team management that will cause a significant positive shift in your experience as a private practice owner:

1. Set clear expectations—and live up to them yourself.

You’ll need to implement a clear, simple set of expectations for team behaviors and protocols, and find ways to reinforce these messages on a weekly basis. Of course, you’ll also need to model these policies by following them to the letter yourself!

2. Offer your team reminders of your shared vision and measurable goals.

One way to keep your team in touch with vision and goals as a private practice owner is to hold daily or weekly team conferences. Your team will be able to touch base as a group, you’ll have frequent opportunities to provide feedback on measurable goals, and your team will be reassured and energized by regular communications. You’ll also be able to identify problems earlier and address them privately if needed.

3. Provide personal incentives as well as feedback.

Part of the role of a private practice owner is to know and effectively guide each team member. Understand what makes each of your staff “tick” and how to motivate them personally. Then you can provide frequent personal feedback tailored to that staff member in addition to using what you’ve learned to implement incentives for the group as a whole.

With these three components solidly in place, you’ll find that your staff will begin to come to work without that clock-watching “just a job” attitude. And, due to the likelihood of increased efficiency and customer service that will organically happen, you’ll also see the difference in your profits as a private practice owner.

It takes so much more than good technical work to achieve private practice success.

Building a successful mindset is more than just having a great attitude and effective bedside manner. In the end, it’s all about vision and planning.

Why a Specialty Practice in Todays World?

Make no mistake about it, businesses are being challenged to their core right now.

But, the reality is in a down economy you can OWN your market! Why? Because of how many businesses (practices) pull back, fail to market or maintain contact with people who likely could be customers for life!

I see this as a private practice consultant every day. Those who do all the right things in private health care right now are thriving, pulling together larger market shares all the time as weaker practices fold.

And one factor in our success clearly is the advantages of  developing a true Specialty Practice.

Specialists become experts by advanced training. Specialists get paid more. They especially get more referrals from generalists. Patients know this, then really sense it in the presence of their clinician.

As I watch in our 50 some-odd NeuropathyDR Clinics, those who continue to study, learn new techniques to help those whose lives have been devastated by serious disease and illnesses never want for new patients!

Real Specialty practices in particular have incredible “leverage”.  Staff always are learning newer and better ways of helping patients. Specialty practices have “staying power” when staff is trained properly, each system is perfected,  then marketed to their communities consistently.

And if by chance something is not working, its almost always just one of the above.

So, if you are on track to have an incredible finish to your year, I commend you.

If not, take a hard look at how your practice is positioned in front of your community from every angle. Give patients reasons to ONLY want to see you.

But above all, do this before your nearest competitor does.

It’s not going to be “easier” next year.

Module 2 “Clinic Setup, ND Practice Basics and Device Options”

Examination of the Neuropathy Patient:

We urge you to perform a very thorough physical, neurologic and othopedic exam. BE SURE you are EM Compliant, and all of the required elements of a particular exam are included, ALWAYS INCLUDING upper and lower extremity DTRs, Motor, and Sensory Exams. Use of any classic physical medicine text is fine. At a minimum you also want to be performing vibratory sensation, and skin surface temps using a hand-held IR Thermometer. HANDS ON TRAINING in the ND Protocol is available by attending a Client Day or Clinic Day!

These are the very same findings you will repeat after the patients initial 5 weeks of care and at each re-evaluation. This VIDEO will help!

Treatment Planning, Report of Findings and Case Presentation

The initial treatment plan is usually 3x/wk for 5 wks, followed by a re-evaluation. During this time the patient is always co-treating at home with their own NDGen Device and any applicable supplements and topicals. Typically, after 5 weeks, the patient is seen far less frequently, but at least monthly for 6-12 mos. Some patients improve MUCH more slowly, and require additional 5v week periods of in-office care as well as longer term care!

At the conclusion of the FIRST 5 Week initial clinic time, you as the clinician then assess if the patient has had a successful response. Dr. Hayes defines a successful outcome as at least a 20% improvement, based upon your initial intake parameters at the conclusion of the first 5 weeks.

*There are 3 required pieces of clinical co-treatment the patient needs at home from Day 1 of care: a. NDGen Estim Device b.  A copy of “Beating Neuropathy” (which they should already own from their initial analysis), and c. A Copy of “I Beat Neuropathy” which is designed to be a manual of patient recovery.

How Do I Price and Bill My Services? Billing Units Typically include EM Codes (exams initially and at 4-5 week intervals), and CPT Codes for Manual Therapies, Massage, Possibly NMR, Balance and Gait, Vestibular Retraining, etc. Other Unlisted Physical Medicine Procedures (97039 and 97139)  (Commonly Manual Rx Plus 2 Units Physical Medicine on each visit). Document carefully and ALWAYS be 100% Compliant!

You also have sales of supplements, NeuropathyDR Devices, and other products such as topicals and home care accessories. Reassure your staff and patients, and their families that 5 Weeks is the minimal time needed to assess response to the ND Protocol.

At home Co-Treatment is part of the ND Protocol. Each patient needs an NDGen device with a copy of  the book “I Beat Neuropathy” for the best chance of successful outcomes. Our experience tells us ownership is best, leading to better initial AND long term results, as well as better patient compliance and referrals.

EACH patient needs this neurostim portion of their recovery. At home neurostim nights, weekends and for breakthrough symptoms compliments the other key components of your in-office care.

*These items you need to be stocking in your clinic-plan ahead-lead time is 3-4 weeks on supply orders.

Some patients will require more than 5 weeks in the clinic, even with a device at home, which they typically will use twice daily, nights, weekends and for “breakthrough” symptoms.

Always remember: Patient outcomes are superior and your profit potential is very significant when patients are outfitted with their own stim units to use at home nights, weekends and for breakthrough Sx on the first day of treatment.

Some patients have been put off by calls answered by some clinics, so this is a requirement that helps us all! Ask your team to EXPECT random calls, and as the business owner, you need to check for compliance. We must reserve the right to remove your office from our sites if complaints are received and not promptly remedied. I thank you  for your total cooperation. John

2. To be successful, each patient office visit needs to be about YOUR expertise and THEIR progress, never a device or treatment method. We know this for a fact when we survey patients!. You shall be supplying each patient with their own NDGen(TM) Home Care System (which includes the neurostimulator, canvas tote bag, blanket and a copy of “I Beat Neuropathy”). ALWAYS ask patients to bring their own unit to EVERY office session, and will care for their own equipment and any accessories you may provide like conductive garments.
